A migration starts with the records and working habits your chamber needs to preserve. Pick one active matter as a pilot, assign an owner and test retrieval before moving the rest of the office.

For choosing products, use the software comparison guide. This page focuses on carrying out the move.

Inventory the paper record

List the matter identifier, parties, forum, document bundle, hearing notes, next actions and fee records. Record where originals are held. Distinguish an original record from a copy, working extraction or summary.

Identify missing documents before scanning. Creating an electronic folder does not make an incomplete bundle complete.

Agree on names and responsibility

Choose a simple folder and file naming convention that another colleague can follow. Name the person who updates a matter after a hearing and the person who checks important dates. Keep the source of each important update visible.

For the minimum matter record, see the case management guide.

Digitise a small bundle

Preserve the source scans and page order. Check OCR text against the original, especially names, amounts and negatives. Label unreadable pages for manual attention rather than accepting guessed text.

If translation is needed, retain the link to the original language and page. Keep an approved draft separate from generated working material.

Test retrieval and handover

Ask a colleague who did not create the record to locate a particular order, identify the next action and find its source. Check whether they can distinguish a confirmed direction from a working note.

Resolve duplicate files and unclear names. Confirm who can view or change records and how access can be removed when responsibilities change.

Check exports and continuity

Try exporting the pilot matter and retrieving the files needed for continued work. Confirm which information and formats are included. Decide how the chamber will retain necessary records if a subscription or integration becomes unavailable.

Review the privacy policy and provider terms before supplying client material. The choice of storage and access arrangements must fit the chamber's own obligations.

Expand only after reviewing the pilot

Record missing steps, correction effort and questions that need a policy decision. Train the next person using the same pilot record. A successful move depends on maintaining the update routine after the initial scanning work.

Choose your next step

What would you like to improve in your practice workflow?

What should I ask a vendor before uploading client documents?

  1. Ask about access, retention, deletion and service providers.
  2. Test with an anonymized sample and inspect the export.
  3. Compare current plan limits with your actual workload.
